-description: Produce branded recruitment and executive-search documents with Formatix - turn the firm's own Word, PowerPoint or Excel layout into a template and refine it, find the right template, format a candidate's CV into the firm's template, draft position specifications, shortlist decks, search progress reports and retained-search announcements in the firm's or a client's brand. Use when a recruiter or search consultant asks for a client-ready candidate profile, a formatted CV or a search document from Formatix.
----
-
-# Formatix recruitment documents
-
-Formatix turns search and candidate information into client-ready documents in a
-recruitment firm's own brand (or a client's brand). Everything is created on
-Formatix's servers from the user's own account and comes back as download links.
-This skill tells you which Formatix tools to use, in what order, and what you must
-not invent.
-
-Explicit instructions from the user take priority over this skill. If the user
-asks for something this skill does not cover, help with it directly or say what
-Formatix can and cannot do.
-
-## Who this is for
-
-Recruiters, executive search consultants, researchers and their delivery teams.
-Use search vocabulary: search, mandate, client, candidate, shortlist, position
-specification, appointment. The output is a document the firm sends to its client
-or to candidates.
-
-## Before any tool call
-
-- The user must have connected their Formatix account. If a tool reports that
- sign-in is required, ask the user to connect or reconnect Formatix and stop.
-- If the user has no Formatix account, say that one is needed and point them to
- https://formatix.ai. Do not quote prices, plans, trials or offers, and do not
- suggest upgrades.
-- Some tools use credits from the user's Formatix account (the tool description
- says how many). Tell the user before the first credit-using call in a
- conversation. If a tool says the account is short of credits, say so and that
- the account is managed in Formatix; do not mention plans or purchases.
-- Never repeat a credit-using call because of a slow response: pass a
- `request_id` of your choosing and reuse the same value on any retry.
-
-## Choose the workflow
-
-| The user wants | Tools, in order |
-| --- | --- |
-| To turn their own Word, PowerPoint or Excel document into a template | Design it yourself (main path): `get_template_design_guide`, then `push_designed_template`. Quick option: `create_template_from_file`, then `check_template_status` |
-| To fill one of their OWN templates here | `get_my_template_file` + `get_template_schema` (own templates only; firm templates: `format_cv`) |
-| To change one of their own templates | `refine_template` with the template's id and a plain-language instruction; `get_refine_status` if it is still working |
-| To see what a template needs (what it takes from a CV, the fields it fills) | `get_template_schema` with the template's `id` and `type` |
-| To know which template fits a need | `find_template` (plain-language request); fall back to `list_templates` |
-| A candidate's CV in the firm's template (candidate profile, one-page bio) | `find_template`, then `format_cv` with the chosen template's `id` and `type` and the attached CV (`cv_file`) or its text (`cv_text`); `get_formatted_cv` if it is still being formatted |
-| You read the CVs and decide the details yourself (any template, one or several candidates) | `get_template_schema`, then `fill_template` with `candidates` keyed by the schema's field names (a `cvtobios` template puts up to 10 candidates in one document) |
-| Several CVs at once | `format_cv` with `cv_texts`, or `fill_template` with several `candidates` |
-| To change a document Formatix already made (rewrite the summary, correct a date, add a qualification) | `get_cv_details`, then `edit_formatted_cv` with only the fields that change (free, up to 3 changes, the name cannot change) |
-| A new candidate photo in a document Formatix already made | `set_candidate_photo` with the attached photo (`photo_file`) or a public `photo_url` (free) |
-| A position specification for a search | `render_search_document` with `template_key` = `position-specification` |
-| A shortlist deck for the client | `render_search_document` with `template_key` = `shortlist-deck` |
-| A search progress report | `render_search_document` with `template_key` = `search-progress-report` |
-| An interview pack | `render_search_document` with `template_key` = `interview-pack` |
-| An appointment brief, carousel or role teaser | `render_search_document` with `appointment-brief` first, then `linkedin-carousel` or `role-teaser` using the brief's returned `content` |
-| The "we have been retained" LinkedIn announcement | `create_launch_announcement` |
-| The appointment announcement at the end of a search | `announce_appointment` |
-| A document in a client's brand rather than the firm's | `list_brand_kits`, then pass the chosen kit's `id` as `kit_id` |
-| A role-briefing video | `create_role_briefing_video`, then `get_video_status` |
-
-Without `kit_id`, documents use the firm's confirmed brand.
-
-## Format a CV
-
-- Use `find_template` with the user's description (for example "one-page executive
- candidate bio"), show at most three options with name, type and formats, and let
- the user choose. If there is only one clear match, say which one you will use.
-- If the user attached the CV (PDF, Word .docx/.doc or a text file), pass that file
- as `cv_file`: Formatix reads it itself. If they pasted it, pass the full text in
- `cv_text` exactly as given. Use exactly one of the two. Do not summarise,
- translate, reorder or add to it; Formatix extracts the details itself.
-- To explain what a template will contain, call `get_template_schema` (read-only).
-- Two ways to fill a template: `format_cv` (Formatix reads the CV) or `fill_template`
- (you read the CV, follow the template's extraction prompt for the output format
- exactly - `pptx_extraction_prompt` for PowerPoint, `xlsx_` for Excel, `docx_` for
- Word - and send the details). Never invent facts the CV does not give.
-- `template_type` is the template's type: `cvtobios`, `custom` or `user_template`
- (a template the user built from their own file). For a `user_template`, pass
- `template_type` = `user_template` to `get_formatted_cv` as well.
-- `output_format` is `docx` unless the template lists `pptx` or `xlsx` and the user
- asks for that format. Pass `candidate_name` for the file name when you know it.
-- Formatting takes from about 30 seconds to a few minutes. If `format_cv` returns a
- `record_id` without a download link, tell the user it is in progress and call
- `get_formatted_cv` with that `record_id` a little later. A download link works
- for an hour; `get_formatted_cv` gives a fresh one.
-- Several CVs: `cv_texts` (up to 10) or several `candidates` in `fill_template`; a
- `cvtobios` template puts them in one document, a `custom` template takes one each.
-
-## Build a brief from the user's facts only
-
-`render_search_document`, `create_launch_announcement` and
-`create_role_briefing_video` take a `brief` object. Fill it only with facts the
-user gave you or that appear in material they shared in this conversation:
-
-- `role` is required. Add `location`, `salary`, `reporting_line`, `must_haves`,
- `organisation_overview`, `search_reference`, `jd_text` and `consultants` only
- when the user supplied them.
-- If `role` is missing, ask for it. If other details are missing, produce the
- document without them rather than guessing, and tell the user what they could add.
-- Never invent candidate names, employers, compensation, ratings, notice periods,
- dates, quotes or client names.
-
-For a shortlist deck, pass `candidates` as a list with `name`, `current_role`,
-`current_company`, `location`, `summary_points`, `fit` (criterion and a rating
-from 1 to 5), `readiness`, `notice` and `compensation` - again, only what the user
-provided. For a progress report, pass `funnel` (stage and count),
-`pipeline_rows` and `notes` from the user's figures.
-
-## Confidential searches
-
-If the user says the search or the client is confidential, set
-`brief.confidential = true`, put the real client name in `client_name` (it is used
-only to check the output) and a neutral description in `client_descriptor`, for
-example "a FTSE 250 industrial group". Never write the client's name in your own
-reply, in posts or in any document text.
-
-## Announcements
-
-- `announce_appointment` names the appointee and organisation. Call it only after
- the user confirms the client has agreed the appointment can be announced.
-- Formatix drafts LinkedIn posts and graphics; it does not post them and cannot
- publish web pages from ChatGPT. Say so if the user asks you to post or publish.
-
-## Build and refine the user's own templates
-
-- Main path - design it yourself, as Formatix's team does. When the user attaches
- their own Word (.docx), PowerPoint (.pptx) or Excel (.xlsx) document and asks for a
- template, read `get_template_design_guide`, then in your code tool work on a COPY
- of their file:
- - keep their fonts, colours, logos, spacing and layout; replace only the
-    candidate's details with fields;
- - Word: the candidate inside `{%p for c in parsed_resume %}` ... `{%p endfor %}`
- (each on its own line), fields `{{ c.Field_Name }}`; lists in one paragraph with
-    line breaks keep bullets tight; never the dash forms `{%-` / `-%}`;
- - write an extraction prompt (one line per field; style - dates, letter case,
- tone, pronouns, bullet length - follows the user's document and what the user
- asks, not Formatix rules; ask when unclear; never invent) and a JSON schema
- listing every field.
- Then call `push_designed_template` with the file, title, format, prompt, schema
- and a `request_id`. If it returns `problems`, nothing was saved: fix them and
- push again. On success show the preview pages and compare them with the user's
- document; offer to format a CV (`format_cv`, `template_type` = `cvtobios`).
-- Quick option - let Formatix build it: `create_template_from_file` with the
- attached file, then `check_template_status` until it is `ready`
- (`template_type` = `user_template`). Offer this when the user wants it fast or the
- document is complex.
-- Use only files the user attached and asked to turn into a template.
-- To change one of the user's own templates, call `refine_template` (with
- `template_type` = `cvtobios` for one saved with `push_designed_template`) with one
- clear instruction and a `request_id` of your choosing (reuse it on a retry; the
- change is never made twice). Formatix's template editor changes the template in
- place, usually within a minute, and keeps every earlier version so the user can
- undo it in Formatix. Share its reply and the preview pages it returns; if it is
- still working, call `get_refine_status` a little later. If it asks a question,
- pass it on and wait for the user's answer.
-- The user's OWN templates may also be filled here: `get_my_template_file` gives a
- 24-hour link to the file and `get_template_schema` its prompt and fields. Templates
- Formatix set up for the firm are filled only with `format_cv`; never offer filling
- them here as a way round credits.
-- Templates Formatix set up for the firm cannot be changed here, and templates,
- documents or accounts cannot be deleted. Point the user to the Formatix platform
- at https://platform.formatix.ai for that.
-- The template keeps the attached document's design. Do not promise styling the
- document does not have.
-
-## Reply to the user
-
-- When a document is ready, give the download links returned by the tool and a
- one-line summary of what was produced. Remind the user to check it before it goes
- to a client or candidate. Do not paste internal identifiers or raw tool output.
-- If a tool returns an error, explain it in plain language and suggest the next
- step (connect the account, add the missing detail, try again later). Do not show
- error codes or technical details.
-- Keep replies short and professional. Do not mention how many templates Formatix
- has, and do not compare Formatix with other products.
-
-## Out of scope - decline or redirect
-
-- Finding personal contact details, scraping LinkedIn or profiling individuals.
-- Buying credits, changing plans or processing payments.
-- Deleting templates, documents or data; changing templates Formatix set up for the firm.
-- Publishing web pages or posting to LinkedIn.
-- Requests unrelated to recruitment or search documents.

+# Formatix recruitment documents
+
+Formatix fills a recruitment firm's own branded Word, PowerPoint and Excel
+templates with candidate and search details, on Formatix's servers, from the
+user's own account. Results come back as download links.
+
+Explicit instructions from the user take priority over this skill.
+
+## Ground rules (every Formatix task)
+
+- Reply in the language the user writes in. Documents follow the template's
+ language and its extraction prompt; translate only when the user asks.
+- Use only facts the user gave you or that are in a CV, note or message they
+ shared. Never invent names, employers, dates, compensation, ratings, notice
+ periods, quotes or client names. If something is missing, leave it out and say
+ what the user could add.
+- Credit-using steps: each tool says its cost. Say the cost before a step the user
+ did not clearly ask for. If the account is short of credits, say so and that
+ credits are managed in Formatix. Do not discuss prices, plans, trials or upgrades.
+- Pass a `request_id` of your choosing on every credit-using call and reuse it on a
+ retry: nothing is charged twice.
+- If a tool says sign-in is needed, ask the user to connect Formatix and stop. If
+ they have no account, point them to https://formatix.ai.
+- Never put a client's name, logo or template in anything public. Never look up
+ personal contact details of candidates or anyone else.
+- When a document is ready, give the download links and a one-line summary, and
+ remind the user to check it before it goes to a client or candidate. Do not show
+ internal ids, raw tool output or technical error details.
+
+## Which tool
+
+| The user wants | Tools |
+| --- | --- |
+| The template that fits a need | `find_template` (plain-language request), else `list_templates`. No credits |
+| What a template takes from a CV and the fields it fills | `get_template_schema` (template `id` and `type`) |
+| A search progress report | `render_search_document`, `template_key` `search-progress-report` (0.5 credits): `funnel` (stage, count), `pipeline_rows`, `notes`, from the user's figures only |
+| An appointment brief (candidate pack), then a LinkedIn carousel or role teaser | `render_search_document` `appointment-brief` (1 credit), then `linkedin-carousel` or `role-teaser` (0.5 each) with `payload` = the brief's returned `content` |
+| The "we have been retained" LinkedIn post | `create_launch_announcement` (1 credit) |
+| The appointment announcement at the end of a search | `announce_appointment` (1 credit), only after the user confirms the client agreed it can be announced |
+| A document in a client's brand | `list_brand_kits`, then pass the kit's `id` as `kit_id`. Without it the firm's confirmed brand is used |
+| A role-briefing video | `create_role_briefing_video`, then `get_video_status` |
+| A change to the firm's own template | `refine_template` with one clear instruction and a `request_id` (`template_type` `cvtobios` for one saved with `push_designed_template`); `get_refine_status` if still working. Formatix keeps every earlier version |
+
+For CVs, shortlists, position specifications, interview packs, corrections,
+new templates, daily runs, submission emails, blind profiles and translations,
+follow the matching Formatix skill.
+
+## Briefs
+
+`render_search_document`, `create_launch_announcement` and
+`create_role_briefing_video` take a `brief`. `role` is required; add `location`,
+`salary`, `reporting_line`, `must_haves`, `organisation_overview`,
+`search_reference`, `jd_text` and `consultants` only when the user supplied them.
+
+Confidential search: `brief.confidential = true`, the real client in
+`client_name` (used only to check the output) and a neutral `client_descriptor`
+such as "a listed European logistics group". Never write the client's name in your

If other details are missing, produce the\r\n document without them rather than guessing, and tell the user what they could add.\r\n- Never invent candidate names, employers, compensation, ratings, notice periods,\r\n dates, quotes or client names.\r\n\r\nFor a shortlist deck, pass `candidates` as a list with `name`, `current_role`,\r\n`current_company`, `location`, `summary_points`, `fit` (criterion and a rating\r\nfrom 1 to 5), `readiness`, `notice` and `compensation` - again, only what the user\r\nprovided. For a progress report, pass `funnel` (stage and count),\r\n`pipeline_rows` and `notes` from the user's figures.\r\n\r\n## Confidential searches\r\n\r\nIf the user says the search or the client is confidential, set\r\n`brief.confidential = true`, put the real client name in `client_name` (it is used\r\nonly to check the output) and a neutral description in `client_descriptor`, for\r\nexample \"a FTSE 250 industrial group\". Never write the client's name in your own\r\nreply, in posts or in any document text.\r\n\r\n## Announcements\r\n\r\n- `announce_appointment` names the appointee and organisation. Call it only after\r\n the user confirms the client has agreed the appointment can be announced.\r\n- Formatix drafts LinkedIn posts and graphics; it does not post them and cannot\r\n publish web pages from ChatGPT. Say so if the user asks you to post or publish.\r\n\r\n## Build and refine the user's own templates\r\n\r\n- Main path - design it yourself, as Formatix's team does. When the user attaches\r\n their own Word (.docx), PowerPoint (.pptx) or Excel (.xlsx) document and asks for a\r\n template, read `get_template_design_guide`, then in your code tool work on a COPY\r\n of their file:\r\n - keep their fonts, colours, logos, spacing and layout; replace only the\r\n candidate's details with fields;\r\n - Word: the candidate inside `{%p for c in parsed_resume %}` ... `{%p endfor %}`\r\n (each on its own line), fields `{{ c.Field_Name }}`; lists in one paragraph with\r\n line breaks keep bullets tight; never the dash forms `{%-` / `-%}`;\r\n - write an extraction prompt (one line per field; style - dates, letter case,\r\n tone, pronouns, bullet length - follows the user's document and what the user\r\n asks, not Formatix rules; ask when unclear; never invent) and a JSON schema\r\n listing every field.\r\n Then call `push_designed_template` with the file, title, format, prompt, schema\r\n and a `request_id`. If it returns `problems`, nothing was saved: fix them and\r\n push again. On success show the preview pages and compare them with the user's\r\n document; offer to format a CV (`format_cv`, `template_type` = `cvtobios`).\r\n- Quick option - let Formatix build it: `create_template_from_file` with the\r\n attached file, then `check_template_status` until it is `ready`\r\n (`template_type` = `user_template`). Offer this when the user wants it fast or the\r\n document is complex.\r\n- Use only files the user attached and asked to turn into a template.\r\n- To change one of the user's own templates, call `refine_template` (with\r\n `template_type` = `cvtobios` for one saved with `push_designed_template`) with one\r\n clear instruction and a `request_id` of your choosing (reuse it on a retry; the\r\n change is never made twice). Formatix's template editor changes the template in\r\n place, usually within a minute, and keeps every earlier version so the user can\r\n undo it in Formatix. Share its reply and the preview pages it returns; if it is\r\n still working, call `get_refine_status` a little later. If it asks a question,\r\n pass it on and wait for the user's answer.\r\n- The user's OWN templates may also be filled here: `get_my_template_file` gives a\r\n 24-hour link to the file and `get_template_schema` its prompt and fields. Templates\r\n Formatix set up for the firm are filled only with `format_cv`; never offer filling\r\n them here as a way round credits.\r\n- Templates Formatix set up for the firm cannot be changed here, and templates,\r\n documents or accounts cannot be deleted. Point the user to the Formatix platform\r\n at https://platform.formatix.ai for that.\r\n- The template keeps the attached document's design. Do not promise styling the\r\n document does not have.\r\n\r\n## Reply to the user\r\n\r\n- When a document is ready, give the download links returned by the tool and a\r\n one-line summary of what was produced. Remind the user to check it before it goes\r\n to a client or candidate. Do not paste internal identifiers or raw tool output.\r\n- If a tool returns an error, explain it in plain language and suggest the next\r\n step (connect the account, add the missing detail, try again later). Do not show\r\n error codes or technical details.\r\n- Keep replies short and professional. Do not mention how many templates Formatix\r\n has, and do not compare Formatix with other products.\r\n\r\n## Out of scope - decline or redirect\r\n\r\n- Finding personal contact details, scraping LinkedIn or profiling individuals.\r\n- Buying credits, changing plans or processing payments.\r\n- Deleting templates, documents or data; changing templates Formatix set up for the firm.\r\n- Publishing web pages or posting to LinkedIn.\r\n- Requests unrelated to recruitment or search documents.\r\n"
