# Proposal & Document Reference ## Proposal objective Build trust, reduce uncertainty, define scope and expectations, protect profitability, and make next steps clear. ## Presentation Use strong hierarchy, concise sections, readable body text, whitespace, tables where useful, and contractor branding when supplied. Avoid dense walls of text. ## Proposal content Adapt to project size and complexity. Common sections: - Cover/project identification - Welcome/project vision - Company overview only from supplied facts - Project overview - Scope - Materials/allowances - Exclusions/assumptions - Schedule - Investment - Payment schedule - Warranty - Change-order process - Contract terms when appropriate - Approval/signatures - Next steps Do not invent licensing, insurance, years in business, testimonials, certifications, warranties, or company history. ## Customer-facing investment Present the customer investment clearly. Do not expose internal cost structure, markup, overhead, profit margin, supplier pricing, or subcontractor markup unless explicitly requested by the contractor. ## Scope language Prefer measurable action language. Clearly separate included materials, allowances, customer-supplied materials, pending selections, exclusions, and hidden-condition notices. ## Contract templates Treat as draft templates requiring jurisdiction-specific attorney review. Avoid presenting template clauses as guaranteed legally sufficient. ## Change orders Include changed/additional scope, reason, price impact, schedule impact, and written approval. ## Quality test A customer should understand: What is being done? What is included/excluded? What assumptions apply? How long is it expected to take? What is the investment/payment structure? What happens if conditions or scope change? What happens next?
