Description
From the marketplace listing
DocsAutomator makes documents from your data and gets them signed or accepted. Ask ChatGPT for a quote, contract, invoice, e-invoice, certificate or report, and DocsAutomator fills your template with your data and makes a PDF or Word document in your brand.
Send any document for electronic signature, or for acceptance, where the recipient reads it and clicks Accept. ChatGPT follows every signing and acceptance request, tells you who has not signed yet, sends reminders and resends invitations. The signed or accepted PDF and its record appear in DocsAutomator under Documents.
Invoices can also be e-invoices. When the e-invoice add-on is switched on in the DocsAutomator app, an invoice that ChatGPT creates is also a ZUGFeRD or XRechnung e-invoice.
ChatGPT can design a new template in the style of your website, use a ready-made template from the DocsAutomator gallery, or use a Google Doc you already have. It can also build automations that run on their own from Airtable, Notion, Google Sheets, ClickUp, SmartSuite, Google Forms, Zapier, Make or n8n: connect the data, map fields, set up line items and conditions, and choose where documents go.
You need a DocsAutomator account: https://app.docsautomator.co. The first send of a new setup runs in test mode, which sends the real email and adds a preview watermark.

Declared capabilities
Design a document template in your brand from your website
Make PDF and Word documents from your data
Send documents for acceptance or signature and follow each request
Declared limitations
Accepting on behalf of a recipient. Only the recipient can accept through the link, so the assistant explains this and suggests sending the request instead.
Bulk deletion. There is no bulk delete; the assistant asks which automation and confirms before it moves that one automation to the trash.
Sending without a recipient. The assistant asks for the client's email address instead of guessing one.

name: generate-document-from-data
description: Make a PDF or Word document from one of the user's DocsAutomator automations with data the user gives in the chat, and send it for signature or acceptance when the automation has that step. Use when the user asks to create, fill or send a document such as an invoice, contract or certificate with DocsAutomator.

# Generate a document from data
## First check
If no DocsAutomator tools are available, tell the user plainly that DocsAutomator is not signed in. To fix it, they open Settings, then MCPs, choose docsautomator and choose Authenticate, then start a new chat. Do not try to do the task another way.
## Steps
The main path: you are the data source. You read the placeholders and send the values with `create_document`.
1. Find the automation. Call `list_automations` with `search` set to the document type the user names, for example "Invoices". If several match, ask the user which one.
2. Call `get_automation`. It returns the data source, whether the automation has a closing step (`esignature.enabled` and `closeType`) and the placeholders. Follow the `descriptions` it returns for each placeholder. Ask the user for any value you do not have. Do not invent amounts, names, dates or addresses.
3. Send raw values: numbers as numbers and dates as ISO dates (2026-10-01). DocsAutomator formats them.
4. If the automation reads from a record source (Airtable, Notion, Google Sheets, SmartSuite, ClickUp or Google Forms), send from this automation with the record id (`recId`). The record fills the document, and the signer emails come from its mapped fields. These tools cannot search records, so get the record from the user. Never copy the automation and never change its data source to send.
5. Call `create_document`:
- `mode: "preview"` when the user only wants to see the document. Nothing is sent or saved.
- `mode: "test"` for the first send of a new setup. Test mode sends the real email and adds a preview watermark.
- `mode: "live"` only when the user asks for a real, counted document.
- `recipients` with the name and email of every signer or recipient when the automation has a closing step. With `recId`, pass `recipients` only when the user names a different person. Ask the user for missing email addresses. Never guess one.
6. Give the user the PDF link, and the Word link when the automation saves one.
## Follow the request
- `list_esign_sessions` with `status: "open"` shows who has not signed or accepted yet. `waitingOn` names each pending recipient.
- `manage_esign_session` with `action: "remind"` and the `signerIndex` from `waitingOn` reminds one recipient. Ask the user before you call it, because it sends an email.
- `list_esign_sessions` with `sessionId` shows the status and, when it is completed, the final PDF.
## Rules
- Ask before any call that sends email or creates a live document.
- Show the document with `mode: "preview"` and confirm with the user before you send it.
- Templates are Word templates with placeholders. Never create or edit a Google Doc.
- Build reusable templates: the case details become placeholders. Never fill in a one-off document.
- Do not describe an acceptance as legally binding.

# Send a quote for acceptance
You make a quote in the user's brand and send it to the user for acceptance. The user accepts it from the email and sees the accepted PDF and its record in DocsAutomator under Documents.
## First check
If no DocsAutomator tools are available, tell the user plainly that DocsAutomator is not signed in. To fix it, they open Settings, then MCPs, choose docsautomator and choose Authenticate, then start a new chat. Do not try to do the task another way.
## Before you start
Ask for two things in one message: the user's email address (the quote goes to them) and, optionally, their website (for the brand colors and logo).
## Steps
1. Call `list_automations`. If a quote automation exists, ask the user whether to reuse it; to reuse it, go to step 6. Otherwise call `create_automation` with `title: "Quotes"` and `dataSourceName: "API"`.
2. Call `generate_word_template` on the new automation:
- `title: "Quote"` and `signingMode: "none"`, because acceptance needs no signature block.
- `brandWebsite` set to the user's website, when they gave one. It reads their brand colors and logo.
- A prompt for a one-page quote: logo, quote number, date, valid-until date, sender and client details, a line items table (description, quantity, rate, amount), subtotal, tax, total and terms.
3. If generation fails, call `search` with `in: "templates"` and the query "quote", then `set_template` with the `galleryTemplateId` of a result that has a Word version.
4. Call `configure_placeholders` with a description for every placeholder and a format for every amount and date. Set the user's `locale` with `configure_automation`.
5. Call `configure_esignature` with `closeType: "acceptance"`, `deliveryMethod: "email"` and one signer `{ role: "Client", emailSource: "request" }`.
6. Call `get_automation` for the placeholders. Fill every placeholder with realistic sample data for the user's business. Send numbers as numbers and dates as ISO dates.
7. Call `create_document` with `mode: "test"` and `recipients: [{ signer: 1, email: <user's email>, name: <user's name> }]`.
8. Tell the user to open the email from DocsAutomator, type their name and click Accept.
Test mode sends the real email and adds a preview watermark.
## Done
The quote is accepted when `list_esign_sessions` with the `sessionId` returns `status: "completed"`. Then give the user the accepted PDF (`signedPdfUrl`) and the record at https://app.docsautomator.co/documents.
## Next steps
Suggest one of these:
- Send it to a real client: call `create_document` again with `mode: "live"` and the client's email in `recipients`. Ask the user before you send.
- Make the quote from Airtable: the user connects Airtable in the DocsAutomator app under Settings, Integrations. Then call `set_data_source` with the table and the field `mappings`.
- Use the user's own Word template: call `set_template` with their .docx file as `fileBase64`.
## Wording
- Say "accept" and "acceptance". Do not say "sign" for this flow.
- Do not describe an acceptance as legally binding.
- Never accept a document for a recipient. Only the recipient can accept, through the link in their email.
Release notes
Version 1.0.4. A document can now wait for named approvers before it goes out. A repeated request with the same key returns the first document instead of making a second one. Signature requests can require a hand drawn signature. ChatGPT can read the text of Word templates, as it already does for Google Docs. ChatGPT can tell you which DocsAutomator workspace and account the connection uses. Invoices made in ChatGPT can be e-invoices (ZUGFeRD or XRechnung) when the e-invoice add-on is on in DocsAutomator. The listing now names quotes, contracts, invoices and e-invoices.
